WHAT YOU WILL BRING TO THE ORGANIZATION
As an Operations Manager at tms, you will act as the internal resource operations lead for our Portfolio Marketing Services business unit by providing exceptional internal support for the creative and strategy teams including project resource management, collaborating with the account management and production leads on project timelines and schedule changes, and coordinating processes, tools, & resources to help teams deliver stellar client work.
In this role you will bring clarity, balance and efficiency to the way work is assigned and delivered and ensure the right people are working on the right projects at the right time. By tracking team capacity and forecasting upcoming needs, you’ll give creative and strategy leads the space to focus on the work itself, and not just managing the around it.
We’re seeking someone who has a deep understanding of the creative and strategy development process and has familiarity with resourcing process & allocation management. You are organized and self-motivated and excel at problem solving. You can manage complex, overlapping projects, and love developing and managing processes and tools to help create and maintain team organization and efficiency. You foster connections with variety of personalities and are a master of managing complex relationships diplomatically and professionally across all employee levels.
This role supports a creative and strategy team focused on diverse and innovative projects. While understanding traditional creative and strategy deliverables and the development process is important, experience within digital and customer engagement is a must in this role.
ROLES AND RESPONSIBILITIES
Support the roll out of new resourcing platform and process
Coordinate and track creative and strategy resource assignment and availabilities across the team and proactively anticipate and address potential conflicts with scheduling related to deliverables and assigned resources
Coordinate and collaborate with account management and production project leads on overall project timelines and changes
Provide short- and long-term forecasting based on client plans and flag potential under or overstaffed periods
Manage needed freelance documentation in conjunction with TA/IT/Finance partners
Identify opportunities to integrate new process, capabilities, tools and reporting and help teams transition away from outdated ways of working
Partners with cross functional teams and a departments to drive consistent and reliable delivery on multifaceted projects
Leads prioritization of client deliverables in collaboration with account management, creative and strategy leadership
Attends or leads necessary status meetings and communicates necessary follow ups to relevant stakeholders and team members
Identify and coordinate or facilitate training for new team members and/or cross functional teams as necessary related to operational processes
SKILLS AND EXPERIENCE WE WOULD LIKE YOU TO HAVE
5+ years of experience in a creative agency or studio setting
Proficient with Microsoft Office and AirTable along with an understanding of Adobe and Figma
Experience with the creative development process, timelines and deliverables trafficking
Understanding of resource management across large overlapping projects
Ability to manage multiple, complex projects at the same time while paying strict attention to detail
Ability to work with ambiguity & quickly adapts to changes in priority
"Solutioning" mindset – Able to identify issues before they escalate, implementing corrective actions in advance
Strong communication skills appropriate across levels of the organization
Self-motivated, self-driven, and a quick learner
Exceptional organizational, planning, and project management skills
Experience leading in a team-oriented, collaborative environment (incl. cross functional teams)
Tech and social media savvy

Starting salary between $80,000 - $90,000
